JamesMap CRM ("JamesMap", "we", "our", or "us"), operated for JamesMap Real Estate Investment, provides a private real estate customer relationship management platform for authorized company team members. This Privacy Policy applies to the JamesMap CRM Android application, related web services, and the web CRM hosted at crm.jamesmap.com. It explains what information may be accessed, collected, processed, stored, used, and shared, and how you can request access, correction, or deletion.
JamesMap CRM is intended for business use by authorized real estate teams. The application does not sell personal information and does not serve third-party ads.
Who This Policy Covers
This policy covers data handled through the JamesMap CRM mobile app and web CRM, including account access, leads, clients, units, projects, chats, tasks, follow-ups, meetings, notifications, uploads, and operational support features.
Information We Collect
Depending on your role and the features you use, we may collect or process:
- Account information: name, email address, phone number, role, assigned team, company scope, profile photo, user ID, login/session tokens, and account status.
- CRM records: leads, client names, client phone numbers, client emails, notes, feedback, tasks, assignments, follow-up dates, comments, and sales activity.
- Property and unit information: property details, unit descriptions, project names, prices, availability, images, documents, location/project map data, and related CRM history.
- Messages and collaboration content: one-to-one chat messages, group messages, voice notes, attachments, and message metadata needed to deliver CRM communication.
- Uploaded files and media: photos, videos, documents, brochures, installment plans, profile images, and other files you choose to upload or attach.
- Notification data: device push token, device identifier generated by the app, notification preferences, and notification delivery metadata.
- Device and technical information: app version, build number, operating system/platform, language preference, theme preference, network state, and basic diagnostics needed for security, support, and app functionality.
Permissions Used by the App
- Internet access: required to connect to the JamesMap CRM API and real-time services.
- Camera and photo/video picker: used only when you choose to capture or attach media to CRM records, chats, profile photos, or property listings.
- Microphone: used only when you choose to record voice notes or media that includes audio.
- Notifications: used to send CRM reminders, task updates, chat alerts, lead assignments, and other work-related notifications.
- Vibration/audio settings: used for notification behavior and media playback/recording features.
How We Use Information
- Authenticate users and keep authorized sessions active.
- Provide CRM features such as leads, tasks, units, projects, follow-ups, chats, notifications, reports, and role-based access.
- Allow users to upload and manage property media, documents, profile photos, and message attachments.
- Send service notifications related to assignments, reminders, tasks, chats, and CRM activity.
- Protect accounts, investigate misuse, maintain audit logs, and enforce workspace permissions.
- Provide customer support, troubleshoot errors, improve reliability, and maintain service security.
Data Sharing
We do not sell, rent, or share personal information with advertisers or data brokers. We may process information through trusted service providers only as necessary to operate the service, including cloud hosting, database storage, file storage, analytics/diagnostic infrastructure, Firebase Cloud Messaging, email delivery, security monitoring, and technical support. These providers are required to process data only for service operation and protection.
We may disclose information if required by law, to protect the rights and safety of users or the company, or as part of a business transfer where appropriate confidentiality protections apply.
Data Security
We use reasonable technical and organizational safeguards designed to protect information from unauthorized access, loss, misuse, or alteration. Data is transmitted over encrypted connections where supported by the service. Access to CRM data is controlled through user authentication, roles, permissions, and workspace-based restrictions.
Data Retention
We retain account, CRM, message, task, property, and activity information for as long as needed to provide the service, comply with legal or business obligations, resolve disputes, maintain security, and preserve CRM records for authorized company teams and operational records. Deleted data may remain in backups for a limited period before being overwritten according to our backup lifecycle.
Access, Correction, and Deletion
Authorized users may request access to their personal information, correction of inaccurate information, account deactivation, or deletion of eligible personal information by contacting us. Some CRM records may need to be retained when required for legitimate business, legal, security, audit, or contractual purposes.
To request deletion, email privacy@jamesmap.com with the subject "JamesMap CRM deletion request" and include the account email used in the app. We will verify the request and respond within a reasonable timeframe.
Children's Privacy
JamesMap CRM is a business application for authorized real estate professionals. It is not directed to children and is not intended for users under 18 years old. We do not knowingly collect personal information from children.
International Processing
Information may be processed and stored in countries where our infrastructure or service providers operate. We take steps designed to protect information in accordance with this Privacy Policy.
Changes to This Policy
We may update this Privacy Policy from time to time. If material changes are made, we will update the "Last updated" date and may provide additional notice through the service where appropriate.
